Since 2020, Sterling has adopted a remote/hybrid work system due to the Covid-19 pandemic. This shift has posed significant challenges in monitoring and tracking employee deliverables, leading to a decline in overall staff performance.

Problem Statement (The Challenges)
During discussions with the HR team, the following challenges were identified:
  • Supervisors struggle to keep track of the tasks they assign to their subordinates.
  • Subordinates often fail to complete tasks or meet deadlines.
  • The absence of task logging makes it difficult to identify accountability, complicating performance appraisals.
  • Previous task management systems had steep learning curves and were difficult or expensive to integrate with appraisal processes.
These challenges need to be addressed to improve task management and performance appraisal within the organization.

Hypothesis

We believe that Checkify will enable easy tracking and monitoring of employees once they successfully log in.Post-meeting, a document was sent to the team outlining the requirements and features needed for the platform. As the lead, I divided these objectives into tasks and assigned them to the designers, offering interns real-world product development experience.

Design

Creating a style guide was challenging due to the company's red brand, but we managed to find a solution. I focused on flows, sketches, and wireframes, while the interns developed visual components, which I later reviewed and approved.

Minimum Viable Product

Staff Onboard

Once an employee logs in with their Active Directory (AD) credentials, they are prompted to confirm their supervisor. This step ensures accurate reporting structures, enabling effective task assignment, updates, and collaboration. This process also fosters accountability and transparency, as supervisors can monitor and guide their team members, enhancing overall efficiency.

Task and KPI Creation

Supervisors and subordinates can both set up tasks and Key Performance Indicators (KPIs). This collaborative approach aligns goals and expectations, promotes ownership, and ensures transparency through data visibility, facilitating real-time feedback and adjustments.

Employee Task Management

Employees can view, add, and update tasks, staying organized and prioritizing work to ensure timely completion. This feature boosts productivity and promotes effective communication and collaboration.

Performance Appraisal

Supervisors conduct comprehensive assessments of employees' skills, achievements, and areas for improvement. This process provides valuable feedback, sets improvement goals, and contributes to individual and team growth.

Subordinate Attestation

Subordinates evaluate their supervisors, providing feedback that promotes accountability, transparency, and continuous improvement. This process fosters open communication and enhances supervisor effectiveness.

HR Dashboard

The HR dashboard provides insights into employee performance and completion ratings, enabling data-driven decisions and identifying areas for improvement to drive organizational success.

Challenges

The HR team struggled to clearly express their requirements, resulting in numerous review meetings to align expectations. Additionally, outdated APIs caused issues with data integration, hindering product development.

Feedback and Research

The product is currently live. We conduct monthly sessions with different employee groups to gather feedback. The HR team is considering implementing milestone sessions between supervisors and subordinates within specific time periods.
